Create invoices in bulk, and automate the process of getting paid.
How it Works
The Toolkit will generate a template in any spreadsheet, where data you input can be loaded directly to Quickbooks. Load your Customers and Products you have configured in Quickbooks and use them to create Invoices.
Because you can link cells to other sheets or formulas, and copy/paste data in bulk, this sheet can easily turn customer data from other sources into detailed invoices, eliminating the time you spend entering data.
Using this Tool
On the left side of this sheet is Invoice Data - you only need to complete these once for each Invoice. For example, you might enter a date and customer on row 6, then leave the next five rows blank if you wished to create a single invoice with six different lines (perhaps with separate products or prices).
Data to the right is line data - you fill this in to create invoice lines. Only a Service, Rate, and Quantity is required, but there are several other optional fields you may use for better record keeping, or to add additional detail to your financial reporting.
Ideas & Suggestions
Take advantage of this tool’s ability to transform other data (for example, from your CMS or time-tracking tool) into completed invoices. Founders & top-level leaders often spend their own valuable time on simple data entry, but with the Toolkit you can automate creation of invoices from any other data export.
Classes and Locations can be configured in QBO, and make it possible to create additional detail in your reporting beyond the accounts you choose. For example, you may work with a single customer in two separate geographies, by tagging your invoices by location, you can send a simple invoice to your customer, but unlock location-based reporting for your own management purposes.
Support
This template is sensitive to changes in its format. If you add rows and columns to the tab, it may throw off the formatting of the report and cause our tool to send incorrect data to Quickbooks.
Be careful with the data you put into this sheet. Certain cells require certain formats. For example, if you put a negative number into the date column, our toolkit will have trouble interpreting the information you give it.
