Turn complex data into completed financials, and upload your work directly to Quickbooks.

How it Works

The Toolkit will generate a template in any spreadsheet, where data you input can be loaded directly to Quickbooks. Load the Accounts, Customers, Locations, etc. you have configured in Quickbooks and use them to create Journal Entries.

Because you can link cells to other sheets or formulas, and copy/paste data in bulk, this sheet can be used to link completed schedules, reconciliations, or other analyses directly to your GL, rather than relying on manual data entry.

Using this Tool

On the left side of this sheet is Journal Entry Data - you only need to complete these once for each Journal Entry. For example, you might enter a date on row 6, then leave the next five rows blank if you wished to create a single Journal Entry with six lines.

Data to the right is line data - you fill this in to create journal entry lines. Only an Account and either a Debit or Credit amount is required, but there are several other optional fields you may use for better record keeping, or to add additional detail to your financial reporting. Debit and Credit amounts may not be negative.

Ideas & Suggestions

Take advantage of this tool’s ability to quickly upload large amounts of data. Some tasks, such as reconciling your Sales and COGS on a daily rather than monthly basis, are too time consuming to be managed manually, but require only a small change in the formulas you use when automating this process using the toolkit.

Classes and Locations can be configured in QBO, and make it possible to create additional detail in your reporting beyond the accounts you choose. For example, you could tag each Journal Entry line by channel, allowing you to run a report splitting your P&L by channel. For businesses operating across different markets (perhaps B2B vs. B2C), this can be a powerful tool for making your reporting work for your business.

Support

This template is sensitive to changes in its format. If you add rows and columns to the tab, it may throw off the formatting of the report and cause our tool to send incorrect data to Quickbooks.

Be careful with the data you put into this sheet. Certain cells require certain formats. For example, if you put text into the date column, our toolkit will have trouble interpreting the information you give it.
